Newer versions of Microsoft Power Point have a default feature called Presenter View, which is intended to give users speaker notes while simultaneously showing slides when connected to a audio visual presentation system. But this feature may and has caused confusion for some instructors. So we’d like to show you three common problems and their solutions.
PROBLEM #1: My screens need to be swapped
The first problem can happen for no discernible reason, or often times can be inadvertently caused by instructors not familiar with Presenter View. This is when the presenter view notes are on the projection screen screen and the slides are on the instructor’s laptop. In this case, you’ll need to “Swap the displays.”
So there are two ways to do this, depending on if you’re moving the cursor on the projection screen or on your computer screen.
- If you are moving the cursor on the Presenter View notes—i.e. what’s currently on the projection screen— move your cursor to to the top, select “DISPLAY SETTINGS” and then select “SWAP PRESENTER VIEW AND SLIDE SHOW.”
- Another way to “Swap Displays,” is if you are on the projection slide, i.e. what’s currently on your computer display, move your cursor to the lower left corner. Select the ellipses(button to the left of the right arrow) and then select “SWAP DISPLAYS.”
PROBLEM #2: I don’t want to use Presenter View
Now seeing all of this, you might not want to have anything to do with Power Point’s Presenter View. So if you don’t want Presenter View, have Power Point open without having your slide show presenting, go to the “Slide Show” tab, and uncheck “Use Presenter View.”
PROBLEM #3: I want to use Presenter View
But if you do indeed want to use Presenter View, just do the following:
- Make sure that the “Use Presenter View” is checked in the Slide Show Tab.
- Know how to SWAP your displays like we just showed you, or ask for help via the classroom phone..
- And lastly, make sure that your computer is extending it’s desktop and not mirroring or duplicating it’s desktop. Because for Presenter View to work, it needs to treat the Projector like a separate display so you can have your Presenter View Notes visible on your computer and the slides on the projection screen.
